Carbonless forms, frequently referred to as NCR (No Carbon Required) forms, are an indispensable operational tool for service-based businesses, medical offices, construction crews, and logistics companies. They eliminate the messy, smudgy carbon paper of the past while allowing you to instantly create multiple, legible copies of a single handwritten document in the field.

Paper Parts Breakdown

We offer forms in multiple layers to suit your specific operational workflow:

  • 2-Part NCR (White / Yellow): The classic standard. The top white sheet is typically given to the customer, while the bottom yellow sheet is retained by the business for record-keeping.
  • 3-Part NCR (White / Yellow / Pink): Designed for more complex logistical chains. For example, White to the customer, Yellow to the regional office, and Pink to the field technician.

Binding Options

Depending on how your team operates in the field, the physical construction of the forms matters:

  • Glued Edge: The individual sets are glued loosely at the top edge. Once filled out, the set easily breaks apart into its individual colored sheets. Perfect for use with a hard clipboard.
  • Booklet Binding (Wraparound Cover): Forms are stapled into a durable booklet with a thick cardstock wraparound cover. The cover can be tucked behind the current form set to prevent the pen pressure from transferring to the forms underneath. Ideal for technicians who work directly out of their trucks without a clipboard.

File Preparation for Carbonless Printing

To ensure your NCR forms print clearly and function correctly in the field, careful file preparation is required. Because these forms are designed for handwriting, prioritizing legibility and white space over dense graphics is crucial.

Designing for Functionality

A good carbonless form is clean, organized, and easy for an employee to fill out quickly.

  • Line Spacing: Ensure you leave adequate vertical space between lines for handwriting. We recommend a minimum of 0.25" to 0.35" spacing between lines. Forms designed strictly for typewriter use can have tighter spacing, but handwritten forms require room.
  • Keep Backgrounds Clean: Avoid using dark background colors, heavy watermarks, or dense grayscale images behind the writing areas. The pressure-sensitive transfer relies on contrast; if the paper is already dark with ink, the transferred writing will be difficult to read.
  • Fonts: Use clean, legible sans-serif fonts for the field labels. Avoid cursive or highly decorative fonts.

Bleeds and Edge Margins

NCR paper is printed on specialized offset presses. We cannot print edge-to-edge (full bleed) on carbonless forms.

  • The Safe Zone: You must keep all text, logos, lines, and boxes at least 0.25 inches away from all four edges of the document. Any design elements that cross this margin will be cut off by the printer's mechanical grippers.

Sequential Numbering (Optional Add-On)

While not selectable in the basic configurator above, we can add sequential numbering (e.g., 001, 002, 003) to your forms for invoice tracking. If your design requires numbering, please leave a completely blank white box measuring at least 1.5 inches wide by 0.5 inches tall in the top right corner of your design where the red numbers will be stamped.

Resolution and Formatting

Please submit your final artwork as a flattened, high-quality PDF. Ensure your company logo is a vector graphic or saved at 300 DPI to guarantee crisp printing. Design your file in the CMYK color space.

Turnaround & Delivery Logistics

The Production Schedule

Carbonless forms require a specialized printing and chemical gluing process. After the forms are printed, the micro-encapsulated adhesive must be applied to the edges and given ample time to dry and bind the specific layers together correctly. Because of this necessary chemical curing time, standard production for NCR forms is 3 to 5 business days following the approval of your print-ready artwork. Booklet binding adds an additional day to the production cycle.

Secure Bulk Shipping

NCR paper is pressure-sensitive by design. If the boxes are crushed or handled too roughly during transit, the pressure can cause the microcapsules to burst, resulting in large, dark smudges transferring through the unused forms. To combat this, we utilize heavily reinforced, double-walled corrugated boxes and insert thick cardboard stiffeners to absorb shock during shipping. We ship via authorized national carriers (UPS, FedEx, DHL, USPS) to provide reliable tracking straight to your dispatch office or warehouse.
